Privacy Policy
Effective date: October 31, 2026
Who we are
This website, hmtztech.com, is operated by HMTZ Tech LLC (“HMTZ Tech”, “we”, “us”), based in Minnesota, United States. HMTZ Tech LLC is responsible for the personal information described in this policy. You can reach us at info@hmtztech.com or 612-471-3503.
This policy covers information you send us through this website, by email, or by phone when you ask about our services. Information we handle while carrying out a client project is covered by that project’s written agreement.
Information we collect
Start a Project form. The form asks for your name, email address, project type, and a project description, which are required. You can also choose to add your company or organization, country or region, expected timeline, and estimated budget range. If you opened the form from a pricing card or a service page, the package name or project type is filled in for you as context.
Email. If you email us, we receive your email address, your name if your email shows it, and whatever your message and attachments contain.
Phone. If you call us, we receive your phone number and the information you share during the conversation.
Spam protection. When you send the form, the server briefly keeps a scrambled code made from your network (IP) address, as described under “Spam and abuse protection” below.
Please do not include sensitive information, such as health or financial details, or personal information about other people, in your inquiry.
How we use it
We use the information you send us only for business inquiries: to respond to your inquiry, discuss the services you asked about, prepare a project proposal, and follow up with you about the project you requested. We also use the spam-protection data and technical records described below to keep the website and the form secure and working.
We do not add you to marketing or newsletter lists, and we do not send promotional emails. We do not sell your personal information or share it for advertising. We do not make decisions about you by automated means alone.
Legal bases (United Kingdom and European Union)
If the UK or EU General Data Protection Regulation applies to our handling of your information, we rely on these legal bases: taking steps you ask for before entering into a contract, when you request information or a proposal; our legitimate interests in responding to business inquiries and following up on them, and in keeping the website and form secure; and complying with legal obligations, where a law requires us to keep or disclose information.
How form inquiries are delivered and stored
When you send the form, a program on our web server checks your details and sends them as an email to info@hmtztech.com through our hosting provider’s email service, using an encrypted connection. We do not send you an automatic confirmation email; we reply personally.
So that no inquiry is lost if email delivery fails, the server also saves a copy of each inquiry in a private folder on our hosting account. That folder is outside the public website and cannot be reached from it. The copy contains the details you entered in the form and the time it was received. It does not contain your IP address.
The server also keeps a technical event log that records whether each form submission was accepted, rejected, or could not be delivered, and why. This log does not contain your name, email address, message, or IP address.
Spam and abuse protection
To limit repeated or automated submissions, the server keeps a one-way code made from your network (IP) address combined with a secret value, together with the times of your recent submissions. It is used only to limit how many inquiries can be sent from one connection in ten minutes. The code is designed so that your address cannot be read back from it. Each entry stops counting after ten minutes. Expired entries are removed the next time anyone uses the form, so an expired entry can remain stored until then.
The form also contains a hidden field that people do not see. Submissions that fill it in are rejected.
Cookies, analytics, and tracking
This website’s own code does not set cookies or store information in your browser, and the website does not use analytics, visitor tracking, advertising trackers, or tracking cookies. Fonts and images are served from this website itself, not from third-party services.
The website is delivered through our hosting provider’s network, which includes security features that protect the site from abuse. Those features are operated by our hosting provider under its own privacy policy.
Who we share information with
The website, the form’s server program, and the HMTZ Tech mailbox are hosted by Hostinger, which processes this information on our behalf to host and deliver the website and our email. Like most hosting providers, Hostinger may keep standard server logs, such as network addresses and the pages requested, to operate and secure its service, under its own privacy policy. We do not use any other third-party service on this website.
We may also disclose information when the law requires it, or when it is needed to establish, exercise, or defend legal claims.
International transfers
HMTZ Tech LLC is based in the United States. If you contact us from another country, your information will be transferred to and handled in the United States. Our hosting provider may store it in data centers in other countries. These countries may not have data protection laws equivalent to those where you live.
If you are in the United Kingdom or the European Union, we transfer the information you send us because the transfer is necessary to respond to your request and to take the steps you ask for before a contract.
How long we keep information
We keep personal information only for as long as we need it for the purposes described in this policy. We do not keep it indefinitely. How long that is depends on the kind of information and on whether your inquiry leads to a project.
Ordinary inquiries. If your inquiry does not become a client project, we keep the copy saved on our server for 180 days from when we receive it. A scheduled process that runs once a day then deletes it automatically, so a copy may remain for a short time after the 180 days end. Sending or receiving other inquiries does not affect this. If a stored copy cannot be read reliably, it is not deleted automatically; we review it and delete it by hand.
Emails about inquiries that do not become client projects. Your inquiry email and our related correspondence, including our replies, are not deleted automatically. We review our mailbox periodically and delete these emails by hand when they are no longer needed to respond to you, follow up on your inquiry, or keep a record of our business correspondence.
Client project records. Moving an inquiry into our client project records is a manual step. When an inquiry becomes a client project, we move its server copy by hand from the inquiry storage into a separate client project records folder, which the automatic deletion does not touch, and we keep the related emails with that client’s correspondence. We keep client project records while they are needed for our client relationship, project delivery, accounting, or legal obligations, as set out in the project agreement and as required by law.
Hosting provider backups. Our hosting provider may keep backups of our hosting account and mailbox. Deleting information from our server or mailbox does not remove it from backups that already exist; backup copies are removed when the provider replaces those backups under its own schedule.
Spam-protection data is kept as described above. The technical event log does not contain personal information from your inquiry.
Legal holds. We may keep information longer when the law requires it or when it is needed for a legal claim. Server copies under such a legal hold are moved by hand into separate storage that the automatic deletion does not touch. Emails and other information under a legal hold are kept as they are and are not deleted during our manual reviews. We keep held information until the hold is released, and then apply this policy to it again.
You can ask us to delete your information at any time, as described below.
Security
The website uses an encrypted (HTTPS) connection. Inquiry emails are sent to our mailbox over an encrypted connection. The private inquiry copies are stored outside the public website with access restricted to our hosting account. No website, email system, or storage method is completely secure, so we cannot guarantee the security of information sent to us.
Your privacy rights
Wherever you live, you can ask us what personal information we hold about you, and ask us to correct it or delete it. Depending on where you live, you may have additional rights:
United Kingdom and European Union. You have the right to access, correct, and erase your personal information, to restrict how it is used, to receive it in a portable format, and to object to its use based on our legitimate interests. You also have the right to complain to a data protection authority: in the UK, the Information Commissioner’s Office (ICO); in the EU, the supervisory authority in your country.
Canada. You have the right to access and correct your personal information, and to withdraw your consent to its use, subject to legal and contractual limits. You can complain to the Office of the Privacy Commissioner of Canada or, where applicable, your provincial privacy regulator.
United States. Some U.S. state privacy laws give residents rights such as access, correction, and deletion, depending on the law and the business. Whether or not such a law applies to us, you can send us a request.
How to make a privacy request
Email your request to info@hmtztech.com. To protect your information, we may need to confirm your identity before acting on a request, for example by asking you to reply from the email address you used to contact us, and we use any information provided for this only to verify the request. We respond within the time required by the law that applies to you. For example, under UK and EU law this is generally one month, which can be extended in some cases, and under Canadian federal law it is generally 30 days. Requests are free of charge, except where the law allows a fee. If we cannot fully meet a request, for example because the law requires us to keep certain information, we will tell you why.
If you have a concern, we encourage you to contact us first so we can try to resolve it. You can still complain to the relevant authority at any time.
Changes to this policy
If this policy changes, we will post the updated version on this page with a new date.
