Business Automation & Integrations

Connect the systems you already use and automate the routine steps between them, so information is entered once and work moves forward without retyping.

Make your existing tools work together

Many organizations already pay for good software that does not share information. Inquiries land in one place, bookings in another, and customer details get typed into both.

Business automation and integrations connect those systems and automate the routine steps between them, using the integration options each tool provides. The aim is practical: fewer manual steps, fewer copying errors, and information that is up to date wherever it is needed.

You do not need to know which technology is right before getting in touch. Describe the operational problem, and we will assess it before recommending anything.

HMTZ Tech is based in Minneapolis and works on automation and integration projects for organizations in the Twin Cities, across the United States, and internationally.

Situations we help with

  • The same information is typed into several systems
  • Business tools that do not share information
  • Customers or staff wait for updates that someone has to send by hand
  • Internal workflows that are unclear or depend on one person
  • Information scattered across inboxes, drives, and spreadsheets
  • Routine tasks that could run automatically

We start by understanding the business problem: who is involved, where information comes from, and where it gets stuck. The recommendation may be an integration, a workflow change, a small automation, or a custom system.

Information synchronization

Compatibility depends on each system’s supported connections, plans, and terms of use. We confirm what is possible before quoting. View Connected Operations & Automation

Typical improvements

Website to business system

Send website inquiries straight into your CRM, booking tool, or another approved system instead of an inbox.

Booking and inquiry workflows

Turn a booking request into a calendar appointment and a confirmation without retyping anything.

Automated notifications

Send confirmations, reminders, and internal alerts automatically when something changes, so nobody has to remember to send them.

Workflow automation

Move records from one stage to the next, assign tasks, and request approvals automatically, following rules agreed in advance, where the tools allow it.

Single data entry and synchronization

Enter customer or job details once and keep matching fields consistent across systems, with conflicts held for a person to review.

Third-party services

Connect payment, email, or calendar services where they offer suitable integration options.

Build something new, or connect what you have?

Custom Software Development

Creates a new system when no existing tool fits your process.

Business Automation & Integrations

Improves, connects, or automates the tools you already use, when they are the right tools but do not talk to each other.

Some projects need both: for example, a new internal system that also connects to your website and accounting software.

Rule-based automation or AI-assisted automation?

Rule-based automation

Follows rules you define in advance: when a form is submitted, create a record; when a job is marked complete, send the invoice for approval. It behaves the same way every time, and it is the right choice for most routine steps.

AI Solutions & Integrations

Adds an AI step where a task needs interpretation, such as reading a document, sorting a free-text request, or drafting a reply. AI can make mistakes, so its output is reviewed by a person wherever it matters.

We recommend the simplest approach that does the job reliably. Many workflows need only rules; some combine rules with a reviewed AI step.

How a project is assessed

  1. Describe the problem

Tell us what is slowing the work down, which tools you use, and where information is entered more than once.

  2. Needs assessment

We review the process and each tool’s integration options. Not every connection is possible, and some require the provider’s approval or a paid plan.

  3. Your quote

You receive a proposal covering what will be connected or automated, the price, and any third-party costs.

There are no fixed packages for this service; each project is quoted individually. Smaller integrations can also be included in a website or software project.

Frequently asked questions

Common questions about business automation and integrations.

Can you connect any two systems?

Not always. It depends on whether each system offers a supported connection, such as an API or a built-in integration, and on its terms of use. We check this before quoting.

What kinds of tasks can be automated?

Routine, rule-based steps are the best candidates: creating records from form submissions, sending confirmations and reminders, moving work between stages, and keeping the same details consistent across tools. Steps that need judgement may suit AI, or may be better left to a person.

Can you connect our website to our CRM or booking system?

Often, yes, when the CRM or booking system offers a supported way to receive information, such as an API or a built-in form integration. We confirm what your specific tools support before quoting.

What happens if an automation stops working?

We agree in advance how problems are flagged and who is notified, and we test the main failure cases before launch. Connected tools change over time, so ongoing monitoring and support are agreed separately.

Do you provide IT support or cybersecurity services?

No. This service covers connecting, improving, and automating business systems as part of a defined project. It does not include managed IT, device support, or cybersecurity services.

Who pays for the third-party tools?

Subscriptions and usage fees are paid by you directly to each provider, and are explained before you approve the work.

Is ongoing maintenance included?

Not automatically. Connected tools change their features, plans, and integration options over time, so support and maintenance for automations and integrations are agreed per project.
