AI Solutions & Integrations

Practical AI added to the websites, software, and workflows you already use, where it saves time and a person stays in control of the result.

Practical AI, applied where it helps

AI tools are good at certain kinds of work: reading and summarizing text, pulling details out of documents, sorting requests, and drafting routine replies. Used well, they can take repetitive work off your team’s desk.

They also make mistakes, sometimes confidently. That is why every HMTZ Tech AI project starts with an assessment of whether AI is the right tool, and is designed with human review wherever an error would matter. Sometimes a simple rule-based automation does the job better, and we will tell you when that is the case.

We select the technology and AI provider for each project based on your requirements, your data, and your budget, rather than starting from a particular product.

HMTZ Tech is based in Minneapolis and works with organizations in the Twin Cities, across the United States, and internationally.

Tasks worth assessing

  • Customers ask the same questions again and again
  • Documents are read and retyped by hand
  • Incoming emails or requests need sorting before anyone can act
  • Staff spend time drafting routine replies or summaries
  • Information is hard to find across long documents or many files

We start with the task, not the technology: what the work involves today, what a good result looks like, and what would happen if the AI got it wrong.

Four ways we apply AI

Each service is offered subject to a requirements assessment, technical feasibility, and an agreed scope of work.

  • AI Chatbots & Website Assistants

An assistant on your website or internal tools that answers common questions from information you have approved, such as your services, policies, and frequently asked questions. It can be set up to hand the conversation to a person when it is unsure, or when the question needs one.

  • AI Business Automation

An AI step inside a workflow: classifying an incoming request, extracting the key details, or drafting a reply, with rules for when a person must check or approve the result before anything is sent or saved.

  • AI Document Processing

Reading documents such as forms, invoices, or contracts to extract, summarize, classify, or organize their contents. Results are checked against the source, and items that need a closer look are flagged for review, especially where accuracy matters.

  • AI Integrations

Connecting AI services to your website, application, or business software through their APIs, so AI features work inside the tools your team already uses, with keys and data handled on the server.

What each service can do for you depends on your data, your systems, and the assessment. See how AI fits alongside Business Automation & Integrations

Common business uses

Examples of tasks that can be assessed for AI. They are possibilities, not completed projects, and suitability depends on your requirements.

Answering routine questions

A website assistant answers frequently asked questions about your services, process, or policies, and passes anything else to your team.

Sorting incoming requests

Emails or form submissions are categorized by topic or urgency and routed to the right person or queue.

Extracting details from documents

Key fields from invoices, forms, or applications are pulled into your system for a person to confirm.

Summarizing long documents

Lengthy reports, contracts, or notes are summarized so staff can find what matters faster, with the original always available.

Drafting routine replies

Draft responses to common inquiries are prepared for a staff member to review, edit, and send.

Searching your own information

Staff ask questions in plain language and get answers drawn from your approved internal documents, with a reference to the source where the setup allows.

Using AI responsibly

These principles apply to every AI project and are confirmed in each proposal.

Human oversight

A person reviews AI output wherever a mistake would matter. Review steps, approvals, and hand-over points are designed into the workflow from the start.

Data privacy

We agree in writing which information may be sent to an AI provider and how it is handled. Sensitive personal, health, or financial information needs a separate privacy and legal review before it is processed.

Security

API keys and credentials stay on the server, never in the browser. Access is limited to what each feature needs, and security requirements are defined for each project.

Accuracy and limitations

AI can produce answers that sound right but are wrong. We test with realistic examples from your work and explain the limitations we find. We do not promise perfect accuracy.

Third-party costs

AI providers charge for usage, often based on volume. These fees are normally paid by you directly to the provider, vary with use, and are estimated before you approve the project.

Maintenance and monitoring

AI services, models, and pricing change over time. Monitoring, retesting after changes, and adjustments are agreed separately as ongoing support.

AI or a simple rule?

AI Solutions & Integrations

Suits tasks that involve interpreting language or documents, where the input varies and a fixed rule cannot cover every case.

Business Automation & Integrations

Suits routine steps that follow a predictable rule. Rules are simpler to test, cheaper to run, and behave the same way every time.

We recommend AI only where it adds clear value over a rule-based approach, and many projects use both.

How an AI project is assessed

  1. Describe the task

Tell us what the work involves today, how often it happens, which tools and documents are involved, and what a good result looks like.

  2. Feasibility assessment

We review your data, systems, and risks, check whether AI is suitable for the task, and compare suitable providers, their data terms, and likely usage costs.

  3. Proposal and quote

You receive a written proposal covering the scope, the review steps, the price, estimated third-party costs, and the known limitations.

  4. Build and test

The solution is built and tested with realistic examples from your work, including cases where it should hand over to a person.

  5. Launch and review

After launch, results are checked against the agreed expectations. Ongoing monitoring and support are agreed separately.

AI projects are quoted after an assessment. There are no fixed packages, and third-party AI usage fees are separate.

What you provide

  • A clear description of the task and the result you need
  • Realistic examples to test with, such as sample documents or common questions (anonymized where possible)
  • The approved information an assistant may use to answer questions
  • Access to the systems the solution needs to connect to, once the project starts
  • A person who can review results during testing

What you receive

A written assessment and proposal, then a tested solution with the review steps, known limitations, and third-party account and cost details agreed in the proposal.

Frequently asked questions

Common questions about AI solutions and integrations.

Which AI providers do you use?

We do not work with only one provider. The technology and provider are selected for each project based on your requirements, the data involved, the provider’s terms, and cost. The options are explained in the proposal before you approve anything.

Is our data used to train AI models?

That depends on the provider and the plan used. Before you approve a project, we explain the data terms that apply and choose settings that limit how your data is used, where the provider offers them.

Will AI replace our staff?

That is not the goal. AI is used to take repetitive work off people’s desks, and a person stays responsible for decisions and for checking results where accuracy matters.

What happens if the AI gets something wrong?

Occasional mistakes should be expected, which is why review steps are built in. Assistants can be set up to hand over to a person, extracted details are checked before they are relied on, and we agree how errors are reported and corrected.

Can you add an AI chatbot to our existing website?

Often, yes, depending on how the website is built and hosted. Before quoting, we review the site, the information the assistant should use, and how conversations are handed to your team.

Is AI suitable for sensitive or regulated information?

Sometimes, but it needs extra care. Projects involving personal, health, financial, or other sensitive information need a separate privacy, legal, and security review. We do not claim regulatory compliance or certification.

How much does an AI project cost?

AI projects are quoted after an assessment, because the work varies widely. The quote covers the build, and the proposal estimates ongoing third-party usage fees, which are normally paid by you directly to the provider.

Do you offer ongoing support?

Yes, by separate agreement. AI services and models change over time, so monitoring, retesting after changes, and adjustments are agreed as ongoing support for each project.
